Privacy Policy

1. Who we are

The TrueTroop AI Interview Simulator (part of P6 Pro Academy) is operated by The True Troop Consulting Ltd (“we”, “us”, “our”), a company registered in England & Wales [Company number — to be added] [Registered address — to be added]. We are the data controller for the personal data described in this policy. You can contact us about anything in this policy at tools@thetruetroop.com.

2. What we collect

We collect and process the following categories of personal data:

  • Account details — your full name, email address and hashed password, collected when you create an account.
  • Interview answers — the answers you type during practice sessions, and text transcribed from your voice when you choose to answer by speaking. Voice-to-text transcription happens in your browser; we store the resulting text, not audio recordings.
  • Session and quiz results — the questions you were asked, your scores, and the coaching feedback generated for you, so that you can revisit your reports.
  • Job descriptions — where you upload or paste a job description to generate targeted questions.
  • Payment metadata — records of credit purchases such as the pack bought, amount, currency and Stripe transaction reference. Your card details are handled entirely by Stripe and never touch our servers.
  • Technical data — essential authentication cookies and basic logs needed to keep the service secure and running.

3. How AI processing works

When you submit an answer, we send it — together with the question and, where relevant, the job description you provided — to Anthropic’s Claude API. This is done solely to generate your scores and coaching feedback. We do not use your answers to train AI models, and under our commercial arrangement with Anthropic, API inputs and outputs are not used by Anthropic to train its models. The feedback you receive is AI-generated coaching guidance, not human assessment.

4. Lawful bases for processing

Under UK GDPR, we rely on the following lawful bases:

  • Performance of a contract — creating your account, running interview sessions, generating scores and reports, and processing credit purchases.
  • Legitimate interests — keeping the service secure, preventing fraud and abuse, and improving how the service works (without using your answers to train AI models).
  • Legal obligation — retaining payment and accounting records where tax law requires it.

5. Sub-processors

We use a small number of carefully chosen service providers to run the simulator. Each processes data only on our instructions:

Where a provider processes data outside the UK, transfers are protected by appropriate safeguards such as the UK International Data Transfer Addendum or an adequacy arrangement.

6. How long we keep your data

  • Account data is kept for as long as your account exists, and deleted when your account is deleted.
  • Session and interview data (answers, scores, feedback, reports) is retained so that you can access your reports at any time, and is deleted when you ask us to delete your account.
  • Payment records may be retained for up to six years where required by UK tax and accounting law, even after account deletion.

7. Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you;
  • Rectify inaccurate or incomplete data;
  • Erase your data (“right to be forgotten”), including deleting your account and interview history;
  • Portability — receive your data in a structured, commonly used, machine-readable format;
  • Object to or restrict certain processing based on legitimate interests;
  • Complain to the Information Commissioner’s Office (ICO) at ico.org.uk if you believe we have mishandled your data.

8. How to exercise your rights

Email tools@thetruetroop.com from the address linked to your account. We will respond within one calendar month. We may ask you to verify your identity before acting on a request.

9. Cookies

We use essential authentication cookies only — the cookies Supabase sets to keep you signed in securely. We do not use advertising, analytics-tracking or third-party marketing cookies, which is why you will not see a cookie consent banner.

10. Children

The simulator is a professional tool intended for adults. You must be at least 18 years old to create an account. We do not knowingly collect data from anyone under 18; if you believe we have, contact us and we will delete it.

11. Changes to this policy

We may update this policy from time to time as the service or the law changes. The “Last updated” date at the top shows the current version. For material changes we will notify you by email or with a prominent notice in the app before the changes take effect.
